Information You Provide
When using OnlyFaxes, you may provide the following information:
- Email address - used for delivery confirmations, login codes, and QR-based fax receiving.
- Fax documents - PDF, JPG, PNG, and other supported files you upload for transmission.
- Fax numbers - recipient and sender phone numbers entered during fax transmission.
Information Collected Automatically
We automatically collect certain information when you use the Service, including:
- IP address
- Browser type and version, device type, and operating system
- Pages visited and time spent on the Service
- Unique device identifiers
Camera and Photo Library
When using our mobile applications, we may request access to your device's camera or photo library to allow you to upload documents for faxing. These files are processed for transmission and are not used for any other purpose.
How We Use Your Information
We use the information we collect to:
- Transmit faxes and deliver confirmation notifications
- Authenticate your account (for dedicated number subscribers)
- Process payments through our payment processor, Stripe (for subscription billing)
- Respond to support requests
- Monitor and improve Service reliability and performance
- Send you updates about new features and services, if you opted in to our newsletter
Data Security
All fax documents are encrypted using 256-bit AES encryption during transmission and storage. We use HTTPS (TLS) for all communication between your browser and our servers. While no method of electronic storage is 100% secure, we implement industry-standard measures to protect your data.
Data Retention
For free-tier users, all data - including uploaded documents, email addresses, and phone numbers - is automatically deleted after 90 days. Dedicated number subscribers retain fax history for the duration of their subscription. Upon cancellation, subscriber data is deleted within 90 days.
Data Sharing
We do not sell, rent, or share your personal data with third parties for marketing purposes. We may share information with:
- Service providers - third-party services that help us operate the Service (e.g., Stripe for payment processing, telephony APIs for fax transmission)
- Legal compliance - when required by law, subpoena, or other legal process
- Business transfers - in connection with a merger, acquisition, or sale of assets
Advertising and AI Training
We do not display advertisements on OnlyFaxes. We do not use your data for ad targeting or sell your information to advertisers. We do not use your documents, fax content, or any personal data for machine learning training, model fine-tuning, or analytics beyond basic service reliability monitoring.
HIPAA Compliance
OnlyFaxes is not a HIPAA-covered entity and does not offer a Business Associate Agreement (BAA). If your organization requires a BAA or certified HIPAA-compliant faxing, you should use a service that provides one. For individuals faxing their own medical records, intake forms, or prescriptions, our encryption and auto-deletion provide a reasonable level of protection. Your Rights
You have the right to:
- Request deletion of your personal data at any time
- Opt out of marketing communications
- Access the personal data we hold about you by contacting support
Children's Privacy
Our Service does not address anyone under the age of 13. We do not knowingly collect personally identifiable information from anyone under the age of 13.

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new Privacy Policy on this page with a revised "Last updated" date.
